When we go live with our new system, we plan to connect wirelessly, and when that is not an option, we will have the entire dataset replicated on the laptop.As for the paper reports, we keep everything for ever. We print it every day after all of the deferrals for the day are entered. We discard at the end of the day. The FDA is fine with this- the actual donor acceptance is done in the computer, although the printed report is used to defer donors on the mobiles.BC Link to comment Share on other sites More sharing options...
Cliff Posted May 22, 2007 Share Posted May 22, 2007 We are making a lot of changes to our mobiles drives - some for donor safety some for patient safety.We have moved to requiring a SSN to donate. No exceptions (except for the ones we have to accept )We will be bring laptops with us that can do look ups of the donors and their eligibility.It will protect the donors from donating too frequently (has happened to us several times), and it will have all of power of an in-house query of the database - i.e similar names, wrong data entry, and importantly, people who have changed their names.Nothing is perfect, but this is a big improvement for us. We couldn't track NAD, so some donors were allowed to donate too soon. We also didn't track deferrals on the mobiles. We did it at the facility when we registered into the computer. The FDA approved this years ago, but have now changed their mind. So, that is why I am printing the deferral lists (temporary and permanent) every day for the mobiles. We are purchasing laptops, and we will download the registration module (including the donor database) and use that on the mobile to prevent donors from donating too soon and prevent deferred donors from being collected.We are also going to require the SSN. Is that a violation of privacy? No, because the donor has the option of not donating. We are considering using the last 4 numbers, though. Cliff Posted May 22, 2007 Share Posted May 22, 2007 Our system will not allow the last 4 numbers. We, as well as other customers of theirs, have asked for this option. The CFRs allow for the use of SSN as a unique identifier. Excerpt: A State or an authorized person in the State may require a blood donor to furnish his or her social security number when donating blood. Also, if the donor is a deferral when you do finally put it in the computer it will not allow and we do a post donation deferral. Deb Posted June 13, 2007 Share Posted June 13, 2007 We "print" our Deferral List and procedure summary (today - 56 days) which include both temp and permanent defers to a .txt file each day. This serves as a back up inhouse in the event our computer system goes down. It is accessible on the hard drive of the PC and on a network drive.When we go on mobiles, we print out a fresh copy of both reports (defers and donations w/in 56 days) to take along with us. In the past we were keeping this report until the next one was printed, but now we can discard it when we are done as we have access to a current defer list from the .txt file.In addition, we pre-register those donors who have signed up for blood drives. That way the check is done before we even go out. The donor then gets this printed record and verifies data entry (i.e., name, DOB, SSN, address, etc.) is correct.Deb Link to comment Share on other sites More sharing options...
