issue: Multiple Type and Screen ordered in Epic. Lab system is Soft Bank.

Current workflow:  The first Type and Screen ordered/resulted has an outdate of expiring on the 3rd day (after collection) at midnight.  All product orders will net to this Type and Screen order.  A new Type and Screen order is allowed in on the 3rd day after 12pm. 

Duplicate Type and Screen ordered in Epic 'net' into the same Soft order, but label does not print for a new collection.  This keeps any product orders on the active T&S sample.

 

New Epic/Soft Bank workflow:  Epic displays a warning for duplicate Type and Screen.  Providers/nurses may disregard warning and enter a new T&S for collection.  These duplicate tests will no longer ‘net’ to the same Soft Bank order. New order# generated in Soft for every Type and Screen ordered in Epic which we don't want. 

Per Soft - Each of the orders contains a different specimen ID which is shown in the Aux# filed in Patient - Order > Modify. Soft does not merge orders that contain different specimen ID's.

If anyone have any solution to tackle this issue, please share with us.

We have Epic and Soft and this is how our system functions as well. The orders for specimens are collected in a tube that Soft considers to have a 3 day expiration, so they get a new order number and a new Aux number. The Aux number for us is the instrument ID from Epic. To my knowledge, there is no solution to this, this is how the system is designed. Only one active TYSC order should be allowed. 

When a sample is drawn before midnight on the third day, we have to manually go in and inactivate/expire the existing TYSC sample so that product orders will flow onto the new TYSC.

We function with your current workflow description and @jshepherd's work-around description.

We operate with the same workflow.  It is up to the tech reviewing testing in Soft to expire the "old" specimen or cancel additional TS orders in Epic to prevent the collection of new specimens.  If the provider orders RBC, it will fall into Soft under the existing TS and you will need to develop a workaround for that as well or will generate exceptions when trying to select products.
